  2. Import or sync expiration dates. When you import your contact list, include the expiration date for each member. If your membership management system supports it, use the API or Webhooks to keep dates current.
  3. Create a Custom Annual Message campaign. In Campaigns, choose Custom Annual Message and link it to the Certification Expiration field. Set the campaign to send a reminder at intervals you choose — for example, 90 days, 60 days, 30 days, 14 days, and 7 days before the expiration date.
  4. Write your reminder sequence. Each interval gets its own message, escalating in urgency as the deadline approaches.

New Course Announcements

When you release a new continuing education course, webinar, or workshop, text is the fastest way to notify eligible members.

  1. Create a CE Participants group. In Contact Groups, build a group of members enrolled in your certification program.
  2. Send a course announcement. Use a Custom Bulk Message to announce the new course, including the credit value and a registration link.
  3. Follow up before the enrollment deadline. Send a reminder as the enrollment window closes.

Credit Tracking Notifications

If your platform tracks CE credits earned, you can send periodic updates to members showing their progress toward the required total.

  1. Add a custom member field for "Credits Earned" or "Credits Remaining."

Tips & Best Practices

  • Escalate urgency over time. Your 90-day reminder can be informational and encouraging. Your 7-day reminder should be direct and urgent. Match your tone to the timeline.
  • Include a direct link in every message. Every certification reminder should include a link to either browse courses or complete the renewal. Remove friction — don't make members search for what to do next.
  • Send a post-lapse follow-up. If a member's certification expires without renewal, send a message within 7 days letting them know how to reinstate. Many lapses are unintentional, and a quick text can recover them.
  • Coordinate with email. Send the detailed course catalog and CE requirements via email. Use text for deadline-driven reminders and new course alerts that members need to act on quickly.
  • Personalize with credit data. Messages that include the member's specific credits earned and credits remaining are far more effective than generic "your renewal is coming up" reminders. members respond when the message is clearly about them.
