New member Onboarding

Welcome new members with automated text sequences that introduce benefits, drive engagement, and improve first-year retention

First-year retention is the weakest point in the association membership lifecycle. While overall renewal rates average 84%, first-year member renewals drop to just 75% — a 9-point gap that represents significant lost revenue and unrealized engagement. members who join but never connect with the association's benefits, events, or community are the most likely to lapse after year one.

A structured onboarding sequence delivered by text message ensures that new members hear from you early, often, and through a channel they actually read. Rather than relying on a welcome email that may never be opened, text onboarding puts your most important orientation messages directly on the new member's phone during the critical first 30 days.

How It Works

Text-to-Join Campaign

The simplest way to launch onboarding is with a Text-to-Join campaign linked to a keyword.

  1. Create a keyword. In Keywords, set up a keyword like member or JOIN for new member opt-in.
  2. Create a New Members group. In Contact Groups, create a group to hold all new members who text in.
  3. Build a Text-to-Join campaign. In Campaigns, choose Text-to-Join and link it to your keyword and group. Configure the welcome sequence with timed messages.
  4. Set the message schedule. Define messages for Day 0 (immediate welcome), Day 1, Day 3, Day 7, Day 14, and Day 30 — each introducing a different aspect of membership.

Manual or Automated Enrollment

If new members are added to your contact list through an import, API sync, or manual entry rather than texting a keyword, you can still trigger onboarding.

  1. Add new members to the New members group when they join — either manually or through your membership management system integration.
  2. Use a Custom Join Message campaign linked to the New members group. When a member is added to the group, the campaign starts automatically.

Connecting to Chapters and Committees

Part of effective onboarding is connecting new members to the right sub-communities within your association.

  1. Ask about interests. Use an early onboarding message to ask which committees, sections, or interest areas the member wants to join. A reply-based question works well here.
  2. Assign to chapter groups. Based on the member's location or reply, add them to the appropriate chapter or regional group so they begin receiving local updates.
  3. Introduce committee opportunities. Later in the sequence, let the member know how to get involved in committees, task forces, or volunteer roles.

Keyword Promotion Strategy

Place your onboarding keyword where new members will see it at the moment they join:

  • Membership confirmation page. After online registration, display: "Text member to [number] to get started."
  • Welcome email. Include the keyword in your email welcome message as an alternative channel.
  • Membership card or packet. If you mail a physical welcome kit, include the keyword and number.
  • Chapter meeting sign-in. Display a QR code at new member orientation events.
  • Conference registration. New members joining at a conference can text the keyword on-site to start receiving updates immediately.

Tips & Best Practices

  • Send the first message immediately. The moment a member joins is when their engagement and enthusiasm are highest. A same-day welcome text sets the tone for an active relationship.
  • Introduce one thing per message. Each onboarding message should cover a single benefit or action. Don't try to explain everything at once — spread it across the sequence so each message feels manageable and useful.
  • Ask a question early. Including a reply-based question (like "What's your state?" or "Which topics interest you?") in the first few messages creates two-way engagement and gives you data to personalize future communications.
  • Connect new members to people, not just resources. Introducing chapter leaders, mentors, and committee chairs makes the association feel like a community rather than a subscription. Text is a natural channel for personal introductions.
  • Track first-year engagement. Use custom contact fields to record whether a new member attended an event, completed a CE course, or responded to a message within their first 90 days. Members who hit zero engagement by day 90 should receive additional outreach.
  • Transition to regular communications. After the 30-day onboarding sequence, make sure new members are added to your regular communication groups so they continue hearing from you through standard channels.

Common Questions

How long should the onboarding sequence be?

A 30-day sequence with 5-7 messages is the standard recommendation. This gives you enough touchpoints to introduce key benefits without overwhelming the new member. Space messages at least 2-3 days apart so each one stands on its own.

What if new members are added through our membership system, not by texting a keyword?

Use a Custom Join Message campaign linked to your New members group. When a member is added to that group — whether by import, API, or manual entry — the onboarding sequence starts automatically. You do not need the keyword for this approach; the group membership triggers the campaign.

Should I send different onboarding messages to different membership types?

If you have distinct membership categories (student, early career, full, corporate), consider creating separate onboarding sequences for each. A student member and a corporate executive have different needs and different benefits. Create a group and campaign for each membership type and tailor the message content accordingly.
